Canopi Privacy Policy

Last Updated: July 2026

At Canopi Technology USA, your privacy and the security of your personal data are our highest priorities. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our smart devices, our mobile applications, our cloud dashboards, and our website (collectively, the "Services").

By accessing or using our Services, you consent to the practices described in this Privacy Policy. If you do not agree with this policy, please do not use our Services.

1. Information We Collect

We collect several types of information to provide, maintain, and improve our smart security services:

A. Information You Provide to Us

  • Account Information: When you register for an account, we collect your name, email address, phone number, and account password.
  • Payment Details: If you subscribe to a Canopi cloud or SaaS plan, our third-party payment processors collect your credit card and billing information.
  • Customization Data: Device names, lock schedules, room assignments, and profile photos that you upload or configure in the Canopi app.

B. Information Collected Automatically Through Device Usage

  • Device Status & Telemetry: We collect information about how your Canopi hardware operates, including battery life, Wi-Fi signal strength, connectivity logs, and lock/unlock history.
  • Access & Audit Logs: To provide secure access control, we record every entry event—such as the exact time a door was unlocked and the specific credential used (e.g., physical keycard, PIN code, or mobile Bluetooth key).
  • Video & Audio Feeds: If your Canopi system includes smart cameras, we process live video and audio streams. Depending on your settings, we securely store recorded video clips on our encrypted cloud servers.

C. Biometric & Facial-Recognition Data

For Canopi devices equipped with smart facial-recognition technology:

  • Local Processing: Facial-recognition templates are primarily processed locally on your hardware to ensure speed and security.
  • Biometric Consent: We only collect, store, or process biometric data or facial templates where you have explicitly opted in and granted consent. We do not share biometric data with third parties except as strictly necessary to provide the service or as required by law.

2. How We Use Your Information

We use the collected data for the following essential business purposes:

  • Providing the Services: Operating, monitoring, and maintaining your smart lock and security systems.
  • Real-Time Notifications: Sending push notifications to your mobile device when a motion event is triggered, a door is unlocked, or an access-control threshold is met.
  • Customer Support: Diagnosing hardware or software issues when you request technical assistance.
  • Security & Fraud Prevention: Protecting our networks, cloud databases, and your physical property from unauthorized access, hacking, and physical tampering.
  • Service Improvements: Analyzing anonymous, aggregated usage patterns to release system performance optimizations and firmware upgrades.

3. How We Share Your Information

We do not sell, rent, or trade your personal information. We only share your data in the following limited circumstances:

  • Service Providers: We share data with trusted third-party vendors who perform services on our behalf (such as cloud hosting, payment processing, and customer support tools) under strict confidentiality agreements.
  • Property Managers & Enterprise Admins: If you are using a Canopi device in a hotel, office, or residential complex managed by a third party, your access logs and entry data may be visible to the authorized property administrators.
  • Legal Compliance: We may disclose your information if we believe in good faith that disclosure is necessary to comply with a legal obligation, a court order, or a valid government request.

4. Data Security & Encryption

We implement robust security measures to protect your sensitive data:

  • AES 256-Bit Encryption: All video streams, access logs, and facial templates are secured using industry-standard AES 256-bit encryption both while stored (at rest) and while being transmitted over the internet (in transit).
  • Access Controls: Access to your data within Canopi is strictly restricted to authorized employees who require it to perform their jobs (such as security engineers and customer support agents).

5. Your Choices and Privacy Rights

Depending on your physical location and jurisdiction (such as California under the CCPA/CPRA, or Europe under the GDPR), you may have the following rights regarding your data:

  • Access & Export: You can request a copy of the personal data we hold about you, including your account history and access logs.
  • Deletion: You can request that we delete your account and personal data, subject to certain legal exceptions (such as active billing or regulatory audit logs).
  • Opt-Out of Biometrics: You can disable facial-recognition features and request the immediate deletion of stored facial templates at any time through the Canopi app.
  • Manage Notifications: You can customize or completely disable push notifications and motion alerts in your device settings.

6. Data Retention

We keep your personal information only as long as necessary to fulfill the purposes outlined in this policy:

  • Access Logs: Access logs are typically retained for a rolling period (e.g., 30 to 90 days) depending on your subscription plan and system configuration, after which they are permanently deleted or anonymized.
  • Biometric Templates: Biometric templates are immediately destroyed if you disable the feature, delete your profile, or terminate your service.

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our technology, legal requirements, or business operations. When we make updates, we will revise the "Last Updated" date at the top of this page and notify you through the Canopi app or via email.
